Photo sessions

The client and the photographer agree on the time and location of the photo session.

The date reservation is confirmed after the photographer’s reception of the session fee (the creative fee).

In case the inclement weather or other adverse conditions prevent the creation of portraits of the desired artistic quality, the photographer may suggest a different location or rescheduling of the photo session - at no additional cost for client. The client and the photographer stay in touch before and on the day of the photo session and determine, whether a rescheduling would be necessary.

In case the client (or another person who should be photographed) falls ill, and the photo session cannot take place the same day, the client should notify the photographer of this as soon as possible.

In case of rescheduling, the already paid session fee will result in a credit for future services. This credit will remain valid for six months from the original session date: the client and the photographer will have to choose a new date. For cancellations within less than a month from the agreed session date, session fee cannot be refunded.

Olga Rook Photography is proud to offer its clients a satisfaction guarantee.

If for some reason you are not satisfied with your images, you can report this during the viewing. We will discuss how we could make it right for you. The photographer will offer you another photo session at no extra cost for you or a full refund of your session fee. All images from the first photo session will be permanently deleted by the photographer and cannot be used by the client.

Session images and product orders

The images are normally ready for viewing and ordering within 2-3 weeks from the photo session, unless notified differently. Depending on the type and duration of the photo session you can expect to see 10-50+ images to choose from (typically, more than 20 images for an individual portrait session). All these images are carefully selected and professionally edited – including retouching and artistic enhancement. In some cases, additional digital manipulation could be applied upon the client’s request: please note that extra charge depends on the sort of manipulation.

Photography products can be ordered within 1 week from the personal ordering session or the publication of a personal client online gallery. It is possible to order “a la carte” (i.e., price per item) or to choose a collection (package). Setting up an individual collection also belongs to the possibilities.

If the client hasn’t placed an order within 1 week from the viewing, “a la carte” prices, as well as an additional €40 fee, will apply to the later order. In case of no order, the photos will be automatically deleted after 1 month.

Products and payment

Photographic products (prints, albums, canvasses, etc.) will be produced/ordered after the full payment for these products has been received. In some cases it is possible to set up a payment plan: please discuss the options with the photographer in advance.

The time and terms of delivery of the finished products depend on the type and size of the products. These terms can be discussed during the ordering.

In case the photoproducts have been delivered damaged, you must notify the photographer of this within two days after delivery.

The photographer works with professionally calibrated computer display: it is understood that a non-calibrated display can show tones and brightness of the images differently. The photographer uses high quality photographic paper and ink, and the client is aware that color dyes used in photographs may fade or discolor over time due to its inherent qualities.

High-resolution digital files (JPG format) are available for purchase: please inquire the photographer for more information.

Gift certificates

Gift certificates are valid for one year from the date of purchase. Olga Rook Photography may raise its prices during this time: no rights can be derived from the date of the purchase of the certificate. Gift certificates cannot be exchanged for cash.

Workshops

Workshop participation is confirmed after completion of one’s payment for the workshop. The photographer may cancel the workshop in case too little participants register. Registered participants will be notified of this at least one week in advance and will receive a complete refund.

In case a client cancels his or her registration within two weeks from the workshop, a 50% refund will apply. For cancellations within one week from the workshop no refund will be possible.

Copyright

The copyright for all images is retained by the photographer at all times.

The photographer reserves the right to use the images for the purposes of self-promotion on Internet and via publications such as portfolio, blog, social media, newsletter, other websites, flyers, photographic exhibitions and contests. The client does not receive a compensation for this. It goes without saying that the images will not be used in a defamatory, obscene or abusive context.

In case the client has objections against the usage of the images for photographer’s self-promotion, the client must notify the photographer of this in advance: please note that additional charge may apply.

The images received by the client are for personal use (inclusive the social media use). If the client purchases high-resolution files (available in JPG format), a print release will be issued.

It is prohibited to manipulate digital images (for example, using a different crop, collage, etc.). One cannot use the images for commercial purposes or photo contests without an explicit permission from the photographer.

Privacy and personal information

Olga Rook Photography protects your privacy and will never disclose or share your personal details (such as contact information, address, date of birth, etc.) or any confidential information. If a client session is featured in a blog post, no full names are mentioned, unless the client explicitly requests so.

Newsletter is only sent to people who have signed up for it. If you have subscribed to a newsletter but do not wish to receive it any longer, you can unsubscribe via the link provided in each newsletter at any time.

Limit of Liability

The photographer cannot be held responsible for any injuries during the photo session. If the photographer cannot perform her services due to a cause beyond one’s control (illness, emergency, inclement weather), the photographer will make every effort to reschedule the photo session. If for whatever reason this is not possible, the liability of the photographer shall be limited to the refund of all payments received for this portrait assignment. This limitation of liability shall also apply in the unlikely event that photographs have been lost, damaged, stolen or destroyed for reasons beyond the photographer’s control.
